What a real setup looks like
In September 2026 we moved a Kamloops moving and junk removal company off a Gmail address and onto its own domain, on a video call with their office. These clips come from that call. The domain is shown as example.ca, and nothing private is on screen.

Step 1 Upgrade the Gmail you already have
The business had run on one Gmail account for years. Instead of opening a new account, we upgraded that one in place, then chose to use a domain the business already owned.

Step 2 Enter the domain and choose the address
Type in the domain, then the first part of the address. We picked office@, a shared inbox rather than one person's name, so it survives staff changes.

Step 3 Domain verified, Gmail on, old mail checked
Google confirms the domain and switches Gmail on. It then offers to import old mail. On this call the import failed, and it did not matter: the account was upgraded, not replaced, so every old email was already in the inbox. We checked before moving on.

Step 4 Give the business account its own Chrome profile
The one real snag. Google kept saying access was restricted, because the browser was signed in to a personal account while the tab was on the business one. A separate Chrome profile for the business account fixed it. One profile for work, one for personal, and they never cross.

- The first email sent from the new inbox passed all three checks: DKIM signed by the business's own domain, SPF, and DMARC. Read from that message's headers on 24 September 2026, with the records confirmed on the domain's nameserver.

Questions people ask
What are SPF, DKIM and DMARC?
Three DNS records that let a mailbox check an email really came from you. SPF lists the services allowed to send as your domain. DKIM signs each message so it cannot be altered on the way. DMARC tells Gmail, Outlook and the rest what to do with mail that fails those checks, and sends you reports about it.
Why are my emails going to spam?
Most often because one of those records is missing or wrong, so the receiving mailbox cannot confirm the mail is yours. Since 2024, Gmail and Yahoo have required them from anyone sending in bulk. The other common cause is a new tool sending as your domain without being added to your SPF record.
Will moving my website break my email?
It can. Changing where the domain points is the one step that can take email down, because the mail records have to move with it. We copy and check every mail record before touching the domain, which is why this is part of every site move we do.
Which email provider should I use?
Google Workspace if your team lives in Gmail and Google Calendar, Microsoft 365 if it lives in Outlook and Office. If you only need forms and notifications to send as your domain, a lighter sending service is enough. We set up whichever fits, in your name.
Can my existing Gmail become my business email?
Usually, yes. Google lets you upgrade a Gmail account to Google Workspace and put it on your own domain. The account keeps its old mail, contacts and calendar, and mail sent to the old gmail.com address still arrives. The catch: once the domain is verified, some personal Google services stop working on that account, such as Google Family, Fit and Nest. So upgrade the account the business runs on, not someone's personal one.
